Terms and Conditions
Index Adventure recommends you should go through all the terms and conditions of the company. The details of the terms and conditions of the booking agreement are mentioned below. Make sure you read them carefully. A legally obligatory contract is right after you make a booking for a trip and we accept it. After you submit a booking form or fill one up on the Internet, you or any person booking the trip agree to accept all of the conditions put forward. It means that you are well acknowledged about the relevant information and the overall information about the trip. Hereby, you also certify that you provided complete and true information on the booking form.
Package cost is the cost quoted for any of the trips and all the cost inclusions & exclusions are listed out on the trip quote. Your package prices are mainly based on ground costs, airfares and exchange rates. Index Adventure attempts to not increase trip prices (in full or part), but sometimes increase in price is outside its control. We have the full right to change your tour prices without any prior notice at any time before and including the departure date. The changes may be for various reasons such as exchange rate fluctuations, increased fuel prices, airfares, airport charges, seasonal price change etc.
Booking and Payment
To book your package, you’ve to pay 30% of the total trip cost in the meantime of booking the package. Please be aware that the 20% of the total trip cost paid while booking is non-refundable. You should pay the remaining amount 45 days prior to departure to Index Adventure. You can pay the remaining amount by cash, draft, wire transfer, cheque or money order. Index Adventure has every right to cancel your booking without notice and without refund of the deposit if you fail to pay by that date entitles. Also, note that the prices are quoted in US dollars (USD).
- The booking must be made 2 months before departure for the special trips. If you’re taking a package of Bhutan, India, and Tibet trip you must pay 100% of the trip cost while booking the trip. In order to book any of the trips arranged by Index Adventure Pvt. Ltd:
- You must send the form to our office by email (a scanned copy), fax, post or courier after you signed it.
- You must deposit 30% of the trip price.
Cancellation & Refunds
If you cancel your trip after booking with full payment, you’ll be charged with following:
- Cancellation of the trip 30 (1 month) days before the departure date of the trip – 5%
- Cancellation of the trip 15 – 29 Days (3 – 4 weeks) before the departure date of the trip - 40%
- Cancellation of the trip 07 -14 Days (2 weeks) before the departure date of the trip – 75%
- Cancellation of the trip 07 or fewer Days (less than a week) before the departure date of the trip– 100%
If you wish to extend your trip avoiding cancellation till one year, you have to inform via mail or call at least two weeks before the trip departure. Also, you are obliged to pay the additional amount if the cost of the trip is hiked up due to increment on the miscellaneous stuff.
You’ll have your deposit and payments fully refunded if Index Adventure terminates your trip. However, the reasonable costs we compensated for your trip will be taken from your deposit if we cancel your trip due to civil war, natural calamities, or from any other natural or artificial unpredictable circumstances beyond our control.
Passport & Nepal Visas
The travelers must possess valid passports that are valid for at least six months from the return date. You can get your Nepalese visa on arrival at Tribhuvan International Airport or from the Nepalese Embassies or Consulate in your country. It would be your personal responsibility to attain a Nepalese visa. For more info, please visit our Nepal Visa section.
Note: The resident of countries like Nigeria, Ghana, Afghanistan, Zimbabwe, Somalia, Cameroon, Swaziland, Iraq, Ethiopia, Liberia, Palestine do not get a visa in the entry point of Nepal.
Index Adventure has paid for insurance for all the workforce (trekking guides, travel guides, porters, Sherpas, and driver) in MetLife Insurance. But our clients should manage their insurances by themselves. The clients must provide their insurance policy documents to us before trip departure.
Acceptance of Risk and Liabilities
Index Adventure devotes its best service by fulfilling our responsibilities to make your trip memorable & joyful. Please note that we and our sister organizations won’t be accountable for any alterations in the itinerary caused by inevitable situations beyond our control such as natural calamities, government restriction, road blockage, political unrest, flight cancellation, delay, sickness or accidents. Index Adventure wants you to know that we won’t be to blame for all risk on yourself such as damages or injuries or death resulting from natural risks that are involved during the trip.
Health and Fitness Condition
The traveler must be in good health and decent physical condition. You must let us know if you have any medical problems before you depart. We usually organize our trips in remote areas where you may not have normal medical services or hospital facilities. Evacuation can be prolonged, difficult and expensive if it’s required. Please note that medical and evacuation expenses will be the accountable to the traveler.
Tour Leader Authority
When you signed our booking form, it highlights your agreement to accept the authority of the trip leader, who represents Index Adventure. The leader’s to the conduct, itinerary, and objectives of the tour will be ultimate. If the leader finds your behavior or physical condition unsafe to the safety, health, and well-being of other group members, you may be requested to leave the trip. You won’t be entitled to any refund for unused services if the leader makes this decision.
Index Adventure will consider any complaint whereby written notice is given to us within 15 days of the end of the trip.
The contract between Index Adventure and you shall be subject to the laws of Nepal under the jurisdiction of the government of Nepal.
